Cleaners EC1 Health and Safety Policy
This Health and Safety Policy sets out how Cleaners EC1 manages health, safety and welfare for all employees, contractors, clients and visitors affected by our cleaning activities. Our aim is to provide a safe and healthy working environment and to prevent accidents, injuries and work-related ill health in every location where we operate.
Our Commitment to Health and Safety
Cleaners EC1 is committed to meeting all relevant health and safety legislation and recognised industry standards. We will continually review and improve our procedures, ensuring that risks associated with professional cleaning work are identified, assessed and effectively controlled. Health and safety is an integral part of our planning, supervision and delivery of cleaning services.
Responsibilities
Overall responsibility for health and safety within Cleaners EC1 rests with the company management, who ensure that sufficient resources, training and supervision are provided. Management will regularly review this policy, monitor its implementation and take corrective action where necessary.
Supervisors are responsible for implementing safe working practices on site, communicating relevant safety instructions, carrying out checks, reporting hazards and ensuring that staff follow this policy and associated procedures. They must lead by example and intervene if unsafe behaviours or conditions are observed.
All employees and contractors have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. This includes following training and instructions, using equipment correctly, wearing provided personal protective equipment, reporting hazards and near misses, and cooperating with investigations and improvements.
Risk Assessment and Control Measures
Before commencing work at any premises, Cleaners EC1 will assess the risks associated with the cleaning tasks, environment, equipment and substances in use. Site specific risk assessments and, where necessary, method statements will be prepared and communicated to staff. These will cover areas such as slips and trips, manual handling, work at height, use of electrical equipment, lone working and interaction with building occupants.
Appropriate control measures will be implemented, which may include safe systems of work, segregation of working areas, use of signage, changes to work methods, timetable adjustments, supervision arrangements and engineering controls. Risk assessments will be reviewed periodically and following any significant change in process, equipment, premises or incident.
Chemicals and COSHH Compliance
Cleaning chemicals will be selected, stored, used and disposed of in accordance with relevant chemical safety regulations. Hazardous substances will be assessed, and staff will receive training on safe handling and use. Only approved products provided by Cleaners EC1 may be used while working.
All containers must be clearly labelled, kept closed when not in use and stored securely away from unauthorised persons. Decanting into unlabelled bottles is strictly prohibited. Employees must always follow product instructions, avoid mixing chemicals and use appropriate ventilation where required.
Personal Protective Equipment
Cleaners EC1 will provide suitable personal protective equipment at no cost to employees where risks cannot be adequately controlled by other means. This may include gloves, eye protection, masks or respirators, protective footwear and suitable clothing.
Employees must use PPE as instructed, keep it in good condition, report defects immediately and never wilfully damage or misuse it. Replacement PPE will be issued as needed. Where site specific PPE is required by a client, this will be agreed and provided before work begins.
Safe Use of Equipment and Materials
All cleaning equipment, including vacuum cleaners, floor machines, steam cleaners and other powered tools, will be selected, maintained and inspected in line with manufacturer guidance and legislative requirements. Defective equipment must be taken out of use and reported without delay.
Employees will receive instruction in the safe operation of each item of equipment they are required to use, including correct assembly, use of guards, safe cable management and appropriate cleaning and storage. Only trained and authorised personnel may operate powered equipment.
Manual Handling
Cleaning work often involves lifting, carrying, pushing and pulling. Cleaners EC1 will minimise manual handling risks by using trolleys, extending tools and other handling aids wherever practicable, and by planning work to reduce unnecessary movement of loads.
Employees will be trained in safe manual handling techniques, including assessing the load, using correct posture, avoiding twisting, sharing loads where appropriate and recognising personal limits. Heavy or awkward items must not be lifted alone and any concerns about a task must be reported to a supervisor.
Workplace Hazards and Housekeeping
To reduce slips, trips and falls, all staff must maintain good housekeeping. Spillages should be cleaned immediately and, where floors remain wet, warning signs must be displayed. Cables, equipment and materials must be positioned to avoid creating trip hazards and kept away from escape routes.
Access to fire exits, alarms and extinguishers must never be blocked. Staff must familiarise themselves with site emergency procedures, including evacuation routes and assembly points, and follow them in the event of an emergency.
Lone Working and Security
Where cleaning work is carried out outside normal working hours or in isolated areas, appropriate lone working procedures will be applied. These may include check in systems, supervision arrangements, agreed contact methods and restrictions on certain higher risk tasks when alone.
Employees must comply with any site security rules, including identification, access control and key handling requirements, and must not admit unauthorised persons to the premises.
Training, Information and Supervision
Cleaners EC1 will ensure that all employees receive suitable health and safety induction and job specific training before they start work and at appropriate intervals. Training will cover this policy, site rules, emergency procedures, hazard awareness, safe use of equipment, chemicals and PPE, and any other relevant topics.
Supervisors will provide ongoing guidance, monitoring and refresher instructions to maintain safe standards. Records of training and supervision will be retained and reviewed to identify further needs.
Accident Reporting and Investigation
All accidents, incidents, near misses and dangerous occurrences, no matter how minor they may appear, must be reported to a supervisor as soon as possible. Where required by law, incidents will be notified to the relevant authorities.
Cleaners EC1 will investigate incidents to identify root causes and implement corrective actions to prevent recurrence. Lessons learned will be shared with staff as appropriate, and risk assessments and procedures will be updated where necessary.
Policy Review
This Health and Safety Policy will be reviewed regularly and whenever there are significant changes in legislation, operations or circumstances. Updated versions will be communicated to all staff and made available at work locations so that everyone involved in our cleaning services understands their responsibilities and the standards expected.
